What You'll Be Doing:
The Community Administrator position exists at specific multi-use Vivmark Residential Communities that offer various commercial and retail amenities and third-party services. This position ensures efficient and accurate management of our residents' accounts to achieve operational excellence, customer loyalty, and retention. This position handles the accounts receivable and accounts payable activities associated with leasing and ensures that our property management systems are current and accurate for the property's financial reporting. The Community Administrator directly interacts with current and prospective residents throughout the leasing cycle, providing superior customer service to our residents.
- Accurately and efficiently prepares and assists with leasing paperwork.
- Collects and posts security deposits, rent and all other payments. Makes daily bank deposits.
- Generates necessary reports from the property management system (MRI) to monitor resident status of outstanding transactions and ongoing activity.
- Contacts residents to collect past-due balances. Serves and properly files lease violation letters if necessary.
- Partners with the Central Business Group (CBG) to ensure monthly accurate and efficient processing of all property operations.
- Processes invoices in the maintenance invoicing system.
- Ensures effective communication with maintenance staff regarding receipt of goods (ROG).
- Oversees and monitors parking management and rental items in MRI.
- This position may require a background in subsidized housing.
- Provides exceptional customer service to residents.
- Assists in the renewal and move-out processes as needed to ensure high customer
- satisfaction.
- Assists and encourages residents to utilize the company's technology for leasing activities.
- Monitors renter's insurance agreements and ensures compliance with company policies.
- Effectively embodies the Equity Residential brand at all times.
- Assists the General Manager / Sr. Community Administration with special projects as needed.
- Assists management and fellow employees with the day-to-day operations of the property.
- Performs other duties as assigned.
- Represents the Company in a professional manner at all times.
What You'll Need To Thrive:
- High School diploma or equivalent.
- Two years office experience with a minimum of one year in an accounting/bookkeeping position required.
- Computerized accounting.
- If this position requires subsidized housing responsibilities, a Housing and Urban Development certification is strongly preferred. Will train if necessary and the incumbent must achieve certification while on-the-job.
- A valid driver's license, good driving record, auto insurance, and reliable transportation is required if the employee will operate a motorized vehicle (e.g., car, golf cart) during their workday and/or as part of their role.
- Computer literacy and effective communication skills. Must be able to effectively communicate both orally and in writing in English for all work-related purposes.
- Knowledge of federal and state apartment housing laws.
- Availability to work a flexible schedule, including weekends.
- Office team employees, with limited exceptions, are required to use their own Smartphone to perform certain aspects of their job. The device must have updated software and must be password-protected and compliant with in-house security systems.
- Ability to use the computer effectively and read written communications. Ability to lift, push, pull or carry up to 15 pounds for the dissemination of documents, supplies, materials, etc. to various locations throughout the office/facility. May be required to climb stairs depending on the property structure.
Salary: $29.12 - $35.59 per hour
- Team members are eligible for overtime pay and performance incentives.
